Position Summary The Administrative Assistant is responsible for providing high level clerical support primarily to the CEO where discretion is of importance.
May also be accountable for support to all members of Senior Leadership.
Accountabilities Provides high level clerical support to the CEO, and may assist other members of the Senior Leadership Team through a proactive approach to ensure the office runs smoothly.
Establishes and maintain filing systems for department records.
Assembles confidential and sensitive information.
Takes, transcribes, and distributes minutes of selected meetings with confidentiality, including Gothenburg Health Board of Directors meetings.
Screens phone calls for the CEO.
Professionally answers telephones, take messages, refer calls and schedule appointments and meetings as needed.
Performs monthly updates of department specific policies and procedures and owns responsibility for process improvement.
Maintains facility wide contract agreements to include but not limited to:
Services provided by Gothenburg Health, Provider Agreements, Services Purchased by Gothenburg Health, Transfer-Transport Agreements, Student Education Agreements, and Leases.
Handles sensitive contracts with outside offices, vendors, and professionals.
Exhibits strong knowledge of social media.
Provides support with marketing and special events.
Works effectively as a team member within the facility to provide quality service to hospital departments through communication, cooperation, and collaboration.
Maintains confidentiality of patients, department and hospital.
Has a clear understanding of the Health Insurance Portability and Accountability Act (HIPPA) regulations and follows facility and department policies and procedures to maintain compliance.
Maintain Administrative calendars through setting appointments, discussing with CEO specific needed set-aside times, and discusses changes daily.
Read and route incoming mail to the CEO.
Prepares outgoing mail.
Arrange travel schedules and arrangements for CEO and other Senior Leadership.
Expands job-related knowledge and skills to improve and adjust to change.
Participates in departmental performance improvement.
Attends scheduled inservices that pertain to the hospital as a whole.
Follows policies and procedures to contribute to the efficiency of the organization.
Performs other related duties as needed in order to support the achievement of department goals and objectives.
Performs any other duties as may be assigned.
Completes required continuous training and education, including department specific requirements.
Requirements:
Minimum Qualifications High School diploma or GED Experience with Microsoft Word, Excel, Outlook, and modern office equipment Exceptional customer service and phone etiquette Proven ability to problem solve and self-manage.
Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
